We currently collect and process the information contained in the attached form here.

How we get your personal information and why we collect it

Most of the personal information we process is provided to us directly by you for the use/hire of Council land/facility.
 
We use the information that you have given us in order to:
process your booking and confirm use/hire details.
raise any issues we may have on the use/hire of the area/facility. 

We may share this information

Your personal data may be shared internally within the Council. This is with staff who provide this service and, where necessary, between internal departments with the purpose of supporting an effective delivery of service.
 
Your personal information will not be shared with third parties.
 
Under the UK General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information

Personal data is securely stored on Council electronic servers and in hard copy. This is in compliance with Data Protection legislation and is handled confidentially with strictly controlled access.

Paper documents will be destroyed one year after the event or hire date, after which any remaining information will be securely stored on the Council’s electronic servers.

In line with the Council’s Retention and Disposal Schedule, all data will be kept and disposed of with retention rules for Events, Insurance, and Financial Transactions Management.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to limit of processing - You have the right to ask us to limit the processing of your personal information in certain circumstances.
Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not needed to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
